***The role requires someone to be onsite a minimum of 3 days a week (ideally 5 days) in either our San Francisco or Boston office***
Job Summary:
Manage the office experience across local and remote offices for our growing organization. Responsibilities include facilities management, office events, vendor management, and assisting in ad hoc projects that support G&A and other teams as needed throughout the organization.
Responsibilities:
• Own the Office and Facilities operations, ensuring an excellent experience for the OG team and visitors
• Manage all leases and office expansion, partnering with local office contacts, Finance and Talent to understand headcount implications and space needs with respect to budget
• Support employees with various office issues (e.g. conference rooms, scheduling, supplies, incoming and outgoing mail, travel arrangements, etc.)
• Maintain Facilities wiki page with up to date information for all employees
• Lead planning and execution of annual office events; logistics, set-up and flow - keeping all events in-budget, including Summer Party, HQ Holiday Party, and holiday parties/dinners for remote offices
• Own setup and execution of State of the Startup, OpenGov’s monthly All Hands meeting
• Primary contact for all vendors, from meals/snacks to FedEx to building management and maintenance. Adhere to best practices and expense control (i.e., travel rates, office supplies, catering, vendors, etc.), ensuring high-impact offerings at minimal expense
• Interacts regularly with lower and/or senior management on matters concerning several functional areas, department, and/or customers.
• Ensure team happiness through the management of food and office supply orders
Requirements and Preferred Experience:
• Bachelor’s Degree or equivalent work experience required
• 10+ years of related experience
• Ability to prioritize and apply sound judgment
• Assertive, motivated and have excellent communication skills
• Proactive and takes initiative/ownership; finds problems and identifies and implements solutions
• Partners well with others, develops & preserves positive relationships across org(s) while juggling multiple/complex demands in a fast paced environment
• Works on issues where analysis of situations or data requires conceptual thinking and an in-depth knowledge of organizational objectives
• Implements policies and selects methods, techniques, and evaluation criteria for obtaining results
• Drives the strategy and success of larger projects which contribute to multiple areas of the organization
• Ability to receive difficult feedback/complaints, focusing on creating win/win solutions
• Demonstrate strong attention to detail, accuracy, and be able to work effectively with minimal supervision, in a fast-paced environment
• Available in the office during normal working hours and available out of hours, as needed
• Some travel to remote offices required on an as-needed basis
